Winrock International: Grants Administration and Operations Manager

This is a new position that aims to strengthen operational systems and processes to ensure program implementation is efficient, accurate, and in compliance with funder and organizational requirements. The position is full-time, remote, and has an expected start date of August 12, 2024. Starting salary is $75,000 firm, plus an excellent benefits package.
The role is both operational and strategic, working in partnership with Center leadership and program staff to build our overall capacity to implement impactful programs and partnerships. The position will create systems and standard operating protocols within the Wallace Center, serving as a clearinghouse and supplemental support for program staff to quickly identify, pursue, and complete required administrative and operational tasks while remaining in compliance with funder and organizational requirements. They will also serve as the interface between Winrock International operations staff and Wallace Center staff by staying up to date on the administrative and operational requirements, protocols, and best practices relevant to the unit.
education and experience:
The ideal candidate will have AT LEAST 4 years of relevant work experience OR a BA/BS degree in non-profit management, public administration, or related field; AND at least six additional years of work experience in any 3 of these areas:
· Organizational Management: Experience overseeing administrative or operational task within a public or private entity, ideally a nonprofit
· Grants Administration: Experience with philanthropic and governmental grant-making mechanisms, including compliance and reporting cycles.
· Financial Transactions: Experience with routine activities (i.e. processing invoices, requisitions, etc.) and project-level budget tracking and closeout
· Change Management: Experience establishing new systems in a team environment including training and supporting colleagues during roll-out
· Communications: Experience with generating and supporting high quality written and verbal communications for internal audiences
· Internal Relationship Management: Experience collaborating with a variety of different colleagues in a positive and consistent way
desired skills:
· High level of organization and attention to detail
· Grant administration, particularly for funding from the U.S. government
· Operational systems design, implementation, and management
· Staff training and training resource design and management
· File management system proficiency (SharePoint, Google Drive, etc.)
· Project-level budget and organization financial transaction management.
· Microsoft Office proficiency (Outlook, Teams, Excel, Word, PowerPoint)
· Strong writing skills (English fluency) for internal audiences and mediums
· Excellent interpersonal and communication skills for diverse audiences
· Ability to meet deadlines and manage multiple concurrent tasks.
· Ability to learn new policies, procedures, and best practices.
· Ability to be self-directed and the ability to work effectively in a team.
Responsibilities:
· Develop and maintain standard operating protocols (SOPs) and templates
· Assist staff in identifying and completing correct processes and templates
· Improve and maintain digital file management sites for the unit
· Create and manage new staff hiring processes, on-boarding activities, etc.
· Conduct regular unit training sessions on current Winrock systems
· Tracking administrative and operational requests, including “pain points”
· Support team members with administrative and operational activities
· Check compliance on grant administration and operations activities
· Manage unit procurements (e.g. website plugins, subscriptions, etc.)
· Serve as the Wallace Center’s ambassador for Winrock’s Code of Conduct
· Support Wallace Center’s standardized tracking of operational metrics
· Regularly provide updates to unit leadership and other cross-cutting staff
· Participate in “All Team” activities (e.g. meetings, training events, etc.)
